Privacy Policy

EasyPulse ("we," "us," "our") provides a wellness-tracking and practice-session platform for sports teams. This Privacy Policy explains what information we collect, how we use it, who can see it, and the choices you have.
1. Who this applies to
This policy applies to everyone who uses EasyPulse: players, coaches, and club administrators, whether through our mobile app or web dashboard. Many of our users are student athletes, and some are minors. If you are under the age of majority in your location, you should review this policy together with a parent, guardian, or coach, and your club is responsible for obtaining any consent required by local law before you join.
2. Information we collect
We collect only what's needed to run the platform:
- Account information: name, email address, password (stored securely and never visible to us in plain text), role (player, coach, or admin), position, and team/club assignment.
- Wellness check-in data: sleep hours and quality, soreness, fatigue, stress, mood, pain location and severity, injury flags, rate of perceived exertion, session duration, and any notes you choose to add. This is self-reported by the player and is the core of what the platform tracks.
- Session and practice data: practice plans, drill diagrams, and notes created by coaches for their team.
- Technical data: basic device and usage information needed to operate and secure the service (e.g., login timestamps).
We do not knowingly collect more than this, and we do not ask for data unrelated to team wellness tracking and session planning.
3. Who can see your data
Access is scoped by club and role, enforced at the database level, not just in the app's interface:
- A player can see their own check-in history and profile, and basic roster information (name, position) for teammates on their own team.
- A coach or admin can see the players, check-ins, and session plans for their own club only. Never another club's data.
- EasyPulse staff do not routinely access individual wellness data. Limited access may occur for support requests you initiate, or as required to maintain the security and functioning of the service.
4. How we use your information
- To provide the core features of the platform: check-ins, session plans, and team analytics.
- To let coaches see trends and flags (e.g., fatigue, pain reports) for the players in their own club.
- To maintain account security, including authentication and password resets.
- To communicate with you about your account (e.g., confirmation emails, password reset emails).
We do not sell your personal information, and we do not use your wellness data for advertising.
5. Where your data is stored
EasyPulse is built on Supabase (database and authentication) and hosted via Render (web dashboard) and Hostinger (marketing site). These providers act as our data processors and are contractually/technically limited to processing data on our behalf. We do not control the exact physical server locations of these providers beyond what they publish in their own documentation.
6. Not medical advice
EasyPulse is a self-reported wellness tracking tool. It is not a medical device, does not provide medical advice, and is not a substitute for evaluation by a qualified medical professional. Coaches and clubs are responsible for making appropriate medical decisions regarding any player who reports pain, injury, or concerning symptoms. Including referring them to qualified medical staff. EasyPulse surfaces the information players report; it does not diagnose, treat, or assess medical risk.
7. Children's privacy
EasyPulse is designed to be used by sports teams, which commonly include players under 18. We do not knowingly collect personal information from children under 13 without appropriate consent as required by applicable law. If EasyPulse is used through a school or club involving players under 13, that organization is responsible for obtaining any consent required under COPPA or equivalent local law before the player joins. If you believe a child has provided us with information without appropriate consent, contact us at the email below and we will take appropriate action, which may include deleting the account.
8. Data retention
We retain account and check-in data for as long as the account is active, so coaches can see meaningful trends over a season. If a club or player wants their data deleted, contact us (below) and we will delete it, except where we're required to retain limited records for legal or security purposes.
9. Your rights
Depending on where you live, you may have rights to access, correct, export, or delete your personal information. To exercise any of these, email us at contact@weasypulse.tech. We'll respond within a reasonable time and verify your identity before making changes to protect your account.
10. Security
We use industry-standard practices to protect your data, including encrypted connections and database-level access controls (Row Level Security) that restrict data to authorized users only. No system is perfectly secure, and we cannot guarantee absolute security, but we take reasonable steps to protect your information and will notify affected users as required by law in the event of a breach.
11. Changes to this policy
If we make material changes to this policy, we'll update the "Last updated" date above and, where appropriate, notify users directly (e.g., by email).
